- Sensitive information: we only collect sensitive information, such as health or disability information for NDIS cleaning or details of allergies and chemical sensitivities, with your consent and only where it is reasonably necessary to provide the service safely.
- Job applicants and contractors: details you provide when applying to work with us, including work history, right to work and police check results.
You can deal with us anonymously or using a pseudonym when making a general enquiry, but we need your real name, contact details and address to quote accurately and to provide a service.
How we collect it
3.1 We collect most information directly from you, for example when you submit a form, call or message us, book or pay, or when our team attends your property.
3.2 We may also collect information from third parties, such as a real estate agent, property manager, landlord, employer, NDIS plan manager, insurer, or a person who books on your behalf. If you give us someone else's personal information, you confirm that you are allowed to do so and that they know we will handle it under this policy.
3.3 We collect information automatically through cookies, analytics and advertising technologies when you use our website.
How we use it
We use personal information to:
- respond to enquiries and prepare quotes;
- schedule, confirm, perform and follow up our services, including reminders and re-clean requests;
- process payments, issue invoices and recover overdue amounts;
- handle complaints, damage claims, insurance claims and disputes, and to establish, exercise or defend legal claims;
- maintain quality, train our team and keep our people and your household safe;
- operate, secure and improve our website, prevent spam, fraud and misuse, and measure how our advertising performs;
- send you marketing where permitted (see section 8);
- comply with our legal obligations, including tax, workplace and insurance obligations; and
- for any other purpose you consent to, or that is related to the above and that you would reasonably expect.
Who we share it with
We never sell your personal information. We share it only as reasonably needed, with:
- our cleaning staff and subcontractors who perform your service;
- service providers who help us run our business, such as website hosting, database and IT providers, email delivery (Zoho ZeptoMail), payment processing (Stripe), analytics and advertising providers (Google, Microsoft and Meta), accountants and booking or communication tools;
- your real estate agent, property manager, landlord, insurer or NDIS plan manager, where you ask us to, where they booked the service, or where it is needed to deal with a re-clean or bond-back request;
- our insurers, insurance brokers, lawyers and professional advisers, and debt collection agencies where an amount is overdue;
- courts, tribunals, regulators and law enforcement where required or authorised by law, or where reasonably necessary to establish, exercise or defend a legal claim; and
- a buyer or successor of our business, who will be required to handle your information consistently with this policy.
We require our service providers to protect personal information and use it only for the services they provide to us.
Overseas disclosure
Some of our service providers store or process information outside Australia, including in the United States, the European Union, India and other countries where those providers or their data centres operate. We take reasonable steps to ensure these providers handle personal information in a way consistent with the Australian Privacy Principles.
Cookies, analytics and advertising
7.1 Our website uses cookies and similar technologies, including Google Tag Manager, Google Analytics, Google Ads conversion tracking, Microsoft Clarity and the Meta Pixel. These help us understand how visitors use our site, fix problems, prevent spam, and measure and improve our advertising, including showing our ads to people who have visited our site.
7.2 Microsoft Clarity records how visitors interact with pages (such as clicks, scrolling and mouse movement) to help us improve the site. We configure these tools so that the contents of form fields are masked and not recorded where the tool allows this.
7.3 You can control cookies through your browser settings, and you can opt out of some tracking using tools such as the Google Analytics opt-out add-on, Google Ads settings and your Facebook or Instagram ad preferences. Blocking cookies may affect how parts of our website work.
Marketing and your choices
8.1 We may send you service reminders and occasional offers by email or SMS where you have consented or where the Spam Act 2003 (Cth) otherwise permits, for example where you are an existing customer.
8.2 Every marketing message includes a way to unsubscribe, and you can also opt out at any time by emailing hello@ministryofcleaning.com.au. We will process your request within 5 business days. Opting out of marketing does not stop service messages about a booking you have made.
8.3 When you submit a quote or booking request, you agree that we may contact you by phone, SMS or email about that request.
Photos and job records
9.1 Our team may take photos and videos of the property before, during and after a service for quality control, training, and to provide an accurate record if there is a question about the work, a re-clean request, a damage claim or a dispute. We take reasonable care not to capture people, documents or personal belongings.
9.2 We will not publish photos that identify you or your property, for example in marketing or on social media, without your consent.
Security
10.1 We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Our website uses HTTPS encryption, our booking records are stored in access-controlled systems with password protection, and access to customer information is limited to people who need it for their work. Keys and access codes are handled securely and used only for your service.
10.2 No method of transmission or storage is completely secure, and we cannot guarantee the security of information you send to us over the internet. Please do not send card numbers or passwords to us by email or SMS.
How long we keep it
11.1 We keep personal information only for as long as we need it for the purposes in this policy or as required by law. Financial and booking records are generally kept for 7 years to meet tax and legal obligations and so that we can respond to claims. Photos and job records are generally kept for 2 years after the service, or longer if relevant to an open complaint, claim or dispute.
11.2 When information is no longer needed, we take reasonable steps to destroy or de-identify it.
Accessing and correcting your information
12.1 You may ask for access to the personal information we hold about you, or ask us to correct it, by contacting us using the details in section 17. We will respond within 30 days. We may need to verify your identity first.
12.2 We may decline access in the circumstances allowed by the Privacy Act, for example where giving access would have an unreasonable impact on someone else's privacy, or where the information relates to existing or anticipated legal proceedings. If we decline, we will tell you why in writing.
Data breaches
If we become aware of a data breach that is likely to result in serious harm to you, we will notify you and, where required, the Office of the Australian Information Commissioner, and take steps to contain the breach and reduce any harm.
Children
Our services and website are intended for adults. We do not knowingly collect personal information from children under 16 except where it is provided by a parent or guardian as needed for a service.
Complaints
15.1 If you have a concern about how we have handled your personal information, please contact us in writing first using the details below. We will acknowledge your complaint within 2 business days and aim to respond within 30 days.
15.2 If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy from time to time to reflect changes in our services, technology or the law. The updated version will be published on this page with a new "last updated" date.
